PMP-101176 - As a training management user, I want the ability to view assigned Document Acknowledgements with statuses in any employees' training history record in TMS to provide a more complete view of training completed, overdue, and assigned

Existing System

  • There is no option to track training from the document acknowledgement

Purpose: 

  • Track training from document acknowledgement in the Training Management System
  • View both training from document acknowledgement and TMS in LMS module

Enhanced System:

  • Provided option to integrate Document Management and LMS module
  • By default, the configuration to integrate Document Management and LMS is turned on 
  • Integration will happen for the document when the "Is Acknowledgment Required?" field is selected in document release
  • Once the document is released a Course and Session will be created with the user selected in "Release Notification Distribution" and "Additional Release Notifications Groups" 
    • As LMS is based on Employee, session will be assigned as per User and Employee mapping.
  • User can't change the details of Course, Session and Outcome created from Document Management integration in LMS module
  • Outcome will be updated automatically when the user acknowledges a document 

Below is the information for Course and Session creation and outcome update as per document acknowledgement.

  1. Course ID - Auto-generated

  2. Course Title - Document Title - Version

  3. Description -- Document Description

  4. Category - Doc. Ack

  5. Location(s) in which the course is available - Doc. Location

  6. Duration - 1 Hrs.

  7. Attachment - Final Document (*Optional*)

## Session Details

  1. Session ID - Auto-generate

  2. Session Name - Document Title - Version

  3. Description - Document Description

  4. Session Type - By Course

  5. Location - Document Location

  6. Delivery Method - Doc. Ack

  7. Assign To Category - Employee

  8. Employees (Release Notification Distribution Users, Additional Release Notification Users, and Groups with employee linkage)

  9. Notify Trainees and instructors - - Unchecked

  10. Scheduled Training Start Date - Document Release Date

  11. Schedule Training End Date - Acknowledgement Due Date

  12. Attachment - Final Document (*Optional*)

## Outcome Details

  1. Training Completion Date - Doc. Ack - Date

  2. Outcome - Complete

Existing System

  • There is no option to generate QR Code to access document from mobile device

Purpose: 

  • Introduction of QR codes to increase mobile adoption and ease system use.

  • Incorporate a QR code option to generate in the share document screen, so that end users can quickly scan and view the respective document regardless of their user login

Enhanced System:

  • Provide QR code for the document public link, user can scan the QR Code and access the document without login to the application from the device camera
  • Provide QR code to navigate to a document from the mobile application from the app scan feature
    • Search Document app should be enabled to navigate to the document

PMP-101178 - As a system admin, I want an outbound API for Document Management available so that metadata can be easily consumed by other systems outside

Existing System

  • There is no option to export final document metadata outside the system using an outbound API

Purpose: 

  • Provide the option to access document management metadata outside the system

  • Customer can get the document data without login to the application to integrate with outside application

Enhanced System:

  • Document Management Outbound API with all the Document details information
  • Access the document file in binary 
  • All the documents are with Final status
  • Date Range of outbound will be based on document release date
