Incident Management can assist customers in COVID-19 related incident reporting, claims submission, investigation and root cause analysis, and managing corrective and preventive actions.

Module Configuration

  1. To help ensure COVID-19 illnesses are properly classified and managed within Incident Management, we are recommending the addition of new Injury/Illness Nature and Injury/Illness Cause look-up values, which have been validated with several customers.

    •  Injury/Illness Nature: “COVID-19”

    •  Injury/Illness Cause: “Exposure to COVID-19 Source”

    System administrators have the ability to directly add these values within the module setup.

    • Injury/Illness Nature: Module Setup > Incident Management > Injury / Illness Lookup Values > Nature of Injury/Illness

    • Injury/Illness Cause: Module Setup > Incident Management > Injury / Illness Lookup Values > Cause of Injury/Illness

    ProcessMAP is here to assist and can add the values on your behalf.  Please discuss your needs with your Customer Success Manager. For customers with WC TPA outbound integrations, your Customer Success Manager can also work with you and your TPA to determine the appropriate coding required for submitting Workers’ Compensation claims related to COVID-19 illnesses.

 

US OSHA 300 Form

For clients with operations in the United States, OSHA has provided guidance requiring the recording and reporting of workplace exposures to COVID-19. COVID-19 can be a recordable illness if a worker is infected as a result of performing their work-related duties. However,

employers are only responsible for recording cases of COVID-19 if all of the following are met:

  • The case is a confirmed case of COVID-19 (see CDC information on persons under investigation and presumptive positive and laboratory-confirmed cases of COVID-19);

  • The case is work-related, as defined by 29 CFR 1904.5; and

  • The case involves one or more of the general recording criteria set forth in 29 CFR 1904.7 (e.g. medical treatment beyond first-aid, days away from work).

The “COVID-19” Injury/Illness Nature can be mapped to the “Other Illnesses” Classification (column M-6 of the OSHA 300 form).



Notifications

For those customers who elect to add the suggested Injury/Illness Nature “COVID-19”, you will also gain the advantage of having a COVID-19 alert included in your existing Detail Report Completed notifications, as well as a daily summary notification of all COVID-19 related illnesses.  As a reminder, the audience for the Detail Report Completed notifications can be configured in both the module and location setups, and the audience may include named users, groups, the immediate supervisor, and the immediate supervisor’s supervisor.
