New Location Setup Checklist

Note: Note all items able are required. Please check your system configuration for which of the above are required

This document demonstrates how to create a new location, map a location to the enterprise structure and assign scope and application permission to users. Additionally, this document provides a checklist on how to configure the  the specific location system values needed for each module when creating a new location.


 Creating a Location

Business Rules

  • Fields marked with an (*) are mandatory and must be completed to save the location Profile.
  • Each Location must be mapped to each of the organizational Axis.

Step-by-step Instructions:

  1. Click on the Setup Icon
  2. Click on the Enterprise Setup Menu Item.
  3. Click on the Location Setup Menu Item.



  4. Select which level you would want to make the location in.
  5. Click the "New" button to start making the location.



  6. Fill in the fields under Location Information screen and Click on the Save button.

** Do not forget to assign yourself scope and module permissions for the new location.


Necessary Fields:

  • Location Code (Can be numbers or characters)
  • Location Name (Can be the same as the code)
  • Country
  • Activity Status (Active or Inactive)
  • If the Country is United states:
    • Provide the State
    • Workers' Comp. Form

  1. Creating a new location by referring the information of an existing location

    Ability to copy a location along with lookup and setup values 

    • Select the location to be copied, the user can't select multiple locations for copying  
    • Select the lookup or setup needs to copy along with the location 
      • Organization Component
      • Value Stream
      • Work Shift
      • Building 
      • Job Classification
      • Work Area
      • Task

    Note: All fields with an asterisk (*) are required


    Mapping the Location to the Enterprise Structure

  1. Click on the Setup Icon
  2. Click on the Enterprise Setup Menu Item.
  3. Click on the Location Setup Menu Item.



  4. Click on the Name of the Location code Hyperlink.


     
  5. Click on the Enterprise Map tab
  6. Select the radio button by each of the nodes that the location should be mapped to.
  7. Select the Save button.


Location Information Key Fields

  • A Location must be mapped to all organization structures (By Financial Structure, By Region, By size, By Type.

A) This screen provide to the user so that any changes to location mapping can be directly updated in the application and the feeds automatically pick the right mapping.



 



 Mapping the Location to the Enterprise Structure

Step-by-step guide

  1. Click on the Setup Icon.
  2. Click on Enterprise Setup Menu Item.
  3. Click on the Location Setup Menu Item.






  4. Select  the Name of the Location from the Location List.



  5. Click on the Enterprise Map Tab.
  6. Select the location to be Mapped from the Enterprise Structure.
  7. Click on the Save Button.

Step-by-step guide

  1. Click on the Setup icon.
  2. Click on the Security menu item.
  3. Click on  the Users menu item.



  4. Select the User from the list by clicking on First name or Second name.



  5. Click on the Scope tab.
  6. Click on the Edit button.



  7. Select the desired location by checking the check box.
  8. Click on the Save button.

 Adding Departments to Location

Step-by-step Instructions:

  1. Click on the Setup icon.
  2. Click on the System Setup menu item.
  3. Click on the Data Management menu item.



  4. Click on the Manage Data Imports menu item.



  5. For the Data Import Template, Click on the Excel icon of the respective Module row.
  6. Click on the Import button.



  7. Click on Browse button for selecting the file from the system.
  8. Click on the Import From File button.



     

20.3 Update

In 20.3v Upgrade, few modifications has been made to the import template as follows:

1.we have introduced adding Insight Permission to User Import.

Module insight permission has been added to the user import template. Only module insight consumer permission is available. Author insight permission can only be provided from the application user profile, as it involved license validation.

2.Remove level and location selection validation for template user selection

3. Introduced mandatory column comments based on configuration


4. Remove User Type column from Import Tool

We have removed the User Type column and deprecated Template User creation from the user import tool.
