17.2.2 Document Management Release Notes

New and Improved Features

Ability to Add Attachments within the Approval Workflow with option of check out – PMP-7483

The application has been enhanced to Add Attachments within the Approval workflow woth option of check out

  • Approvers will have an option to attach marked up copy of the Original document, share regulatory reference or any other supporting document while approving or rejecting the document
    • Default Turned off. Public
  • Approvers would also have an option to indicate if the attachment is a marked up copy of Original document
    • Configurable. Default Turned off. Public
  • Only the Document Owner, Document Coordinator, and Approvers indicated in the Document Details will have the ability to view the attachment(s)
  • On click of Attachment title the attachment will be open in the preview. The attachment title will have a prefix "Approval Workflow Attachments" to differentiate between Original document preview and Approval Workflow Attachment preview
  • Check-Out – Document Owner (rejected status), Document Coordinator (rejected status), or an Approver (all pending approval statuses) may check out another approver's attachment
    • Default Tuned off. Public
  • The User who checked out the document, User who originally attached the document, Document Owner and Document Coordinator can cancel the check out by selecting “Cancel Check Out”.
  • Action Text in the Preview Action Bar has been removed. Only Icons would be displayed with a mouse hover tool tip.

User selection drop downs to be filtered based on the selected primary folder – PMP-8837

The application has been enhanced for user selection drop down to be filtered based on the selected primary folder.

  • Document Owner, Document Coordinator, User drop downs in Workflow Options and Private Viewers drop downs will be filtered based on selected Primary Folder.
  • If Primary Folder is changed (changed to Private Folder) after selecting users in above mentioned fields then all the selection would be reset and system will show an alert.
  • For an existing Private document if a user is selected in View Private Document user list in document details and in future the View Private Document Permission is removed then the user's access for documents should also be removed.
  • The same would be applicable if a document is created under a Private Folder and later access for that folder is removed for a user; in this case also the user should not be able to view/search the document.

Display Document Version Number in Audit Trail – PMP-24967

The application has been enhanced to display Document Version Number in Audit Trail

  • In Audit Trail screen version number will be displayed in each card making it easy for users to identify version wise changes.
