 PMP-71111 Alert message to prevent double booking of Healthcare Provider's appointments 

Configurable: NA

  • Title: NA
  • Public/Private: NA
  • Default: Will show warning message during double booking of Healthcare Provider's Appointment

Existing System:

  • A Healthcare Provider can be scheduled for more than one appointment for the same start time or can overlap an existing appointment

Purpose: 

  • Appointments getting double booked creating confusion 
  • Tedious task for user to check the Appointments by Healthcare Provider and their appointment times

Enhanced System:

  • When a Healthcare Provider (HCP) is selected, the system checks if other appointments are scheduled for the HCP user in that same time or there is any overlapping time slot of an existing appointment at any location
  • Applicable for all appointments that appear in Appointment List: 
  • No warning message will appear for COVID-19 case, random drug, schedule follow up - same day 
  • If the HCP is already scheduled, then an ALERT MESSAGE should appear. "An existing appointment is scheduled for this Health Care Provider. Please select a different time." with OK or Cancel 
  • Cancel will create appointment with overlapped time, OK will make the user stay in same page to select a different date and time 

  • Each time the user enters overlapping time, it will show a warning message
  • Existing Data: NA
  • Impacts: Schedule Appointment, Reschedule, Schedule Follow-up Appointment

 PMP-69701 Team Shift Roster 

Configurable: NA

  • Title: NA
  • Public/Private: NA
  • Default: Team shift roster will be available in look up

Existing System:

  • No shift roster of Healthcare Provider available 

Purpose: No visibility on their holidays, break and time off 

Enhanced System:

  • New look up in Module set up as Team Shift Roster. Here user can configure the shift time, available/unavailable slot of the healthcare provider, the configured shift time appears in Appointment Calendar 
  • Team Shift Roster has 2 screens: Team List and Configure Roster 
  • Team List - displays the list of Healthcare Providers configured in all active locations
  • Configure Roster - user needs to select the Healthcare Provider from the Team List to configure their shift roster
  • Configure Roster - further has Add Roster and View Roster 
  • In Add Roster, user can configure the HCP shift start time and end time, break in between shifts, mark days off or mark a holiday to available, etc. The configured Roster of HCP will be applicable for all locations
  • In View Roster, user can have a weekly calendar view of the shift roster for the selected HCP 
  • Default Roster timing for all Healthcare Providers from Monday - Friday will be 9:00 a.m. - 5:00 p.m. Can be further edited by clicking on the slot which would redirect to the Add/Edit Roster page. Saturday and Sunday are marked as day off.
  • Add Roster will be in form of pop up which can be closed by clicking on closed button and would redirect the user to the list page 
  • Roster can be configured maximum for 3 months and maximum last 3 months' data can be seen 
  • User can download the report as a PDF form

 PMP-69703/ PMP-69704 Appointment Calendar

  • System has an Appointment Central page, where the user can Add Appointment and encounters and view them

Purpose:

  • No visibilities on Available and booked slots for Healthcare provider and Entity

Enhanced Features and Functionalities

  • Calendar view of Appointments showing the booked and available slots 
  • Roster for Healthcare Provider in Module set up mentioning their shift timings and PTO
  • New Menu link for "Appointments Calendar"
  • Applicable by Location only 
  • Major Section: Filter, Calendar 
  • Filter: Major Filters 
  • Healthcare Provider (mandatory filter): drop down. Will show healthcare provider in the location. User can select only one Healthcare Provider at a time. Default - Blank, list order is alphabetical 
  • Healthcare Entity (mandatory filter): Will show healthcare entity in the system. Default - Blank, list order is alphabetical 
  • Location - Logged in user location. Read-only field, All Location option (non-mandatory field) - This is a check box which will load the all user-scoped location information in calendar. This will be configurable. Please note - due to huge data it might take more time to load the data for All Location as compared to a single location
  • Period Filter:  Weekly, Monthly, with previous and next 
  • Separate view for Weekly, Monthly  
  • Default view - none
  • Clicking Weekly/Monthly will load weekly or monthly data 
  • Reset button - reset to default page load.
  • If a filter is changed, then weekly/monthly filter is Reset. User needs to select the weekly/monthly option to view the new filter selection data. 
  • Calendar: Slots and Activities
  • Monthly View: Calendar divided by date for the month 
  • Weekly View: weekly days and times. Time being divided by 30 minute intervals 
  • Same slot multiple Appointments can be scheduled 
  • Following color-coded status of Appointment can be seen in calendar: Active and No-Show Appointments, Encounter Occured ,Not Available, Available 
  • No Show - Orange 
  • Active - Green 
  • Encounter with HCP -Teal 
  • Available - while
  • Unavailable - grey
  • The color code in Calendar would appear for all the views, i.e., Weekly, Monthly
  • There were would be a label representing the above color codes in the weekly and monthly views

  • The Appointment date, time, Healthcare Provider, Healthcare Entity to populate in the Appointment detail
  • Appointment Creation and Encounter Selection will be done on add, then user gets redirected to Appointment Calendar 
  • Each time a new appointment is created from Appointment Central, default values in Appointment Details will be Date Selected, 1 hour gap from the time clicked, Healthcare Provider and Healthcare Entity
  • If any available area in a slot is clicked, it will redirect for new appointment creation and editing, existing ones show prompt messageg and on clicking edit will redirect to that Encounter type 
  • It will show some blank space in the extreme right of a slot for the user to click and create new appointments

By Legends color code, counts will appear along with all items counts of appointments/leave for that day 

Each count would be hyperlinked, when clicked would open the pop-up having the record list specific to that selected category 

Coulmn in the pop up to appear with heading

  • This will be a hyperlink to appointment details, encounter, encounter type page and would be accessible based on permission and current location data 
  • For other location appointment, user can just view the appointment details. Edit Appointment will be restricted/hidden for any other location than the the logged-in location

Purpose: Difficulty in accomodating existing customer configuration or requirement

Enhanced System:

  • New configurable encounter type Others V2, which can be renamed and repurposed based on customer need
  • If the name of Encounter is changed through Multilingual, then the changed name would appear accordingly in all places
  • All fields appart from fields in schedule follow-up are multilingual and will be specific change to Other V2 only. It will not change other fields encounter type which are common in different encounter types
  • Appart from fields in Encounter Status and Follow-up detail, each field in field list is mandatory/non-mandatory and show/hide configurable

  • With "Any" Permission user can view and edit Clinic Notes created by other user

  • In user picklist if Occ Health pages, currently user with all module permission and irrespective of location are loaded

  • Will Load user in User Picklist with Location Scope and Occ Health Module permission
  • Existing Data: Will display the old selected value once edited, then old value if without location scope or module permission will not appear
  • Impacts: applicable to following screens and fields
