Existing System: 

• Does not have a way to lock responses, restrict new findings when all steps of Audit is done and final report is submitted
• This causes data inconsistency as users are able to change response, add/remove finding or action items anytime even if Audit status is closed
• There is no validation implemented on Audit Program Status functionality and these status does not drive anything. 

Purpose: 

• Enhance Audit Program status functionality and link locking feature with program status

Enhanced System:

• Has Program level configuration to decide if a Program questionnaire should be locked or entire Audit should be locked based on Program status
• Has a new dropdown to change Audit Program status from any of the screens under perform audit based on permission, hence enhancing the usability of Audit Program status feature
  • This dropdown will be enabled only when Questionnaire has been completed for the Site/Sub Type
  • Only next available status will be displayed in the dropdown (like a workflow) based on logged in user's permission
• A new default status has been added named "Lock Questionnaire" which will be 2nd in the sequence after "Audit Scheduled" when applicable
  • This status will drive response locking
•  As currently happens additional status can added between "Lock Questionnaire" and "Audit Closed" statuses
• Lead Auditor of the Audit will by default get permission for all default statuses
• Once Questionnaire is complete, "Lock Questionnaire" will be available for selection.
• Once selected, all Question Responses, Section Applicability checkbox(s) will be disabled
  • Reload Protocol option will be hidden
  • Complete icon on Questionnaire Tab will be replaced with Lock icon 
• Users can work with all other functionalities and screens at this point
• Program Status dropdown will continue to display next available status as Audit Program is transitioned through different statuses
• Once Program status is changed to "Audit Closed" (the last status),

  • Entire Audit Program will be locked for any kind of editing or deletion except for below actions

    1. Users can update any Open Findings

    2. Users can create new Action Items and update Open Action Items

  • Complete icon on Perform Audit tab will be replaced with Lock Icon

  • Lock Icon will be appended in Program ID column in the Manage Audit List screen, Sub Type Audit List screen.

    • For Sub Type Pop-up list screen the lock icon will be suffixed in Sub Type value column

  • In Case of Sub Type Audit, lock icon will be displayed in Audit List screen only if Audit is locked for all Sub Type values

• There is a new permission added for both Corporate and Site Audit for Self and Other to provide ability to make modification to Locked Questionnaire/Audit
• Users with respective permission will be able to edit locked questionnaire and audit program

Note: In Mobile Pro, change status feature is not available for Non Protocol Sub Type Audit due to design complexity.

PMP-97741 As an Auditor I want option to create new section and question from Protocol setup

Existing System: 

• The Protocol creation is very complex due to number fields, clicks and navigation to various screens under different menus.

• Administrators need to navigate to different screens if they need to add a new question to a protocol.

• Does not have a way for Admins to create new Protocol section from Add section screen if it does not exist in the library
• Does not have a way for Admins to create new questions from Protocol Question screen if it does not exist in the library
• Does not have a way for Admins to update existing question details directly from Protocol Question list

Purpose: 

• Provide an option for admin to be able to create new question category on the fly for the protocol without going to Module Setup.
• Provide an option for admin to be able to create a new question on the fly for the protocol without going to Question Library screen.
• This would eliminate too many navigations and clicks.

Enhanced System:

• Navigation from Protocol List screen has been changed from Protocol detail screen to Protocol Question screen to reduce number of clicks  
• Redundant field Protocol ID (not being used anywhere in the application) has been deprecated from UI
  • Existing Protocol ID data will remain in the backend as is
• Uniqueness validation has been implemented on Protocol Name field to avoid duplicate names while selecting protocol from a list
  • No impact to existing Protocols.
  • If there are protocols with duplicate names, system will prompt to update the name only when Protocol detail is updated
• Question Section tab has been renamed as Protocol Question
• Back button has been renamed as "Go to Protocol List"
• Save button has been renamed as Save and Next
• Navigates automatically to next tab after saving Protocol Detail screen. Confirmation message has been removed, there by reducing a click for users to move to Protocol Question screen
• Section buttons and Question button naming have been changed to make it more self explanatory
• Select All and De-Select All buttons are removed to reduce number of buttons on the screen
• Select All check box has been introduced in Question List section place in the header row
• Displays existing Question Categories with it's hierarchy in auto search field of Add Section screen
• Add Section screen has option to create new question category on the fly
• First Section without any question is automatically displayed as expanded, prompting user to act on it 
• Has option to create new question from Question List section of the Protocol Question screen
• Has option to edit Protocol questions from this screen, instead of navigating to Manage Question screen

• Does not have a default system notification triggered to Lead auditors when Questionnaire is complete

Purpose: 

• Notify Lead Auditors whenever Audit Team completes questionnaire of an Audit

Enhanced System:

• Has a default notification triggered to all Lead Auditors of the Audit as soon questionnaire is completed
• The notification body contains all relevant information about the Audit
