1. Introduction

In order to manage employee health and proactively mitigate an organization’s exposure to COVID-19, organizations need an effective mechanism to screen employees and visitors, as well as to manage an affected employee's health lifecycle through their return to work. ProcessMAP’s cloud-based Employee Health Management Solution provides mobile enabled symptom and exposure screenings for employees and visitors, enables standardized work clearances and management of return to work, and ensures easy visibility into an organization’s health.

2. Users

Organizations have the flexibility to determine user roles based on their internal processes. The COVID-19 Health Screening Mobile App will most often be utilized by security teams, supervisors, EHS, and medical team members to conduct employee screenings. Organizations may also choose to have employees conduct self-assessments utilizing the COVID-19 Health Screening Mobile App.
The Employee Health Management Web Platform (Occupational Health) can be used by team members from Human Resources, Medical, and EHS.

3. Getting Started

 

The COVID-19 Health Screening Mobile App will allow for the screening of employees, supervised and unsupervised contractors, and visitors for COVID-19 related symptoms & exposure. Based on the screening results, work clearances will be automatically generated. Screenings will clearly indicate whether the individual is referred for Normal Work Activity or Not Cleared for Work. Employees or supervised contractors not cleared for work will automatically have a COVID-19 encounter and leave created in Employee Health Management (Occupational Health). Anticipated Return to Work dates will be defaulted to 14 days from the screening date.
If the screening is conducted in the app while in offline mode, the data will be stored locally on the user’s device. Once the user’s device reconnects to internet service (online mode), applicable data will be passed to Employee Health Management.

Authorized users can login to the Employee Health Management web platform to view and manage the medical profile for employees and supervised contractors Not Cleared for Work. Based on assigned permissions, users can view and manage the auto-generated COVID-19 encounters and COVID-19 related leaves. Users may document work-relatedness (integration with Incident Management System) and COVID-19 test results within the Encounter, update leave details and return to work dates in Leave Management, and add additional information and updates in the Clinic Notes. In addition, attachments may be uploaded and viewed, and clinic notes can be emailed.

4. Quick Tour of COVID-19 Health Screening Mobile App


4.1. Home Page & Icon

Enter your User ID and Password and click “Login”. After validating the entered information, it will take you to the home page with Icon for COVID-19 Health Screening Mobile App .Clicking on the icon will navigate the user to the Screening Results Listing page with Add button.

4.2. COVID-19 Health Screening List

1. In this screen you can view the list of Individual Health Screening records created in the logged-in location.

2. The default view “COVID-19 Health Screening List” will contain all screening records viewable based on the user’s role and permissions. Users may also utilize other public views by selecting on the view drop down or create new personalized views by selecting Add New View.

3. Clicking on any record in the list will navigate the user to the COVID-19 Health Screening page where screening details may be viewed and a PDF report is available for generation.

4. From the Screening List users can Add COVID-19 Health Screening Records by clicking on the Add button. On clicking Add users will be navigated to the COVID-19 Health Screening Details Screen.

5. Users may also export the list as an Excel file by clicking on the Export button.

6. Clicking on the Back button will redirect users to the MobilePro Landing Page.


4.3. COVID-19 Health Screening

The COVID-19 Health Screening consists of five sections: Screening Details, Employee Details, Symptom Screening, Exposure Screening, and COVID-19 Screening Results. After completing all mandatory fields, the work clearance will be displayed in the COVID-19 Screening Results section. Upon saving the record, the user will be navigated back to the COVID-19 Health Screening List.

 

Section 1: Screening Details
The first section will display the screening ID, date, time and screening conducted by. All four fields are auto-populated.

Section 2: Employee Details
In the second section users can select the employee or individual screened information.
1. Two options are available for the Individual Screened Category: Employee or Supervised Contractor and Other.

2. For Employees and Supervised Contractors, the user will select the individual’s name from the auto complete field. The associated Employee ID, Department, and Shift will auto-populate if available in the employee information. Otherwise the user may select the applicable Department and Shift (optional).

3. For Other, the user will enter the individual screened name at minimum. The user may also enter the Company name, Department, and Shift (optional).

Section 3: Symptoms Screening
In the Symptoms screening, users can select Yes or No for the listed symptoms. Based on the responses, the Symptom Assessment field in the COVID-19 Screening Results section will auto-populate with either “With Symptoms” or “No Symptoms”.

 

Section 4: Exposure Screening
The Exposure Screening section contains an Assessment guide to help guide users in the appropriate Exposure Assessment selection for the individual screened.

Section 5: COVID-19 Screening Results
The COVID-19 Screening Results section will display the screening result for the individual and confirm if he or she can resume normal work activity or is not cleared for work.


5. Quick Tour of Employee Health Management Web Platform


5.1. Employee Health Management Application

Login to the Employee Health Management Web Platform with your credentials .On logging in you will be able to see the Employee Health Management under Modules.
Following Menus will appear under Employee Health Management

• Employee Medical Profile

• Manage Appointments

• Manage Leave

• Manage Encounter type

Activities performed under each menu item


5.2. Appointment Central

You can select and apply the filters to view manage appointments and encounters.
You can also add the Employee Health Screening similar to App by Adding an Appointment and COVID Encounter Type .The only difference is this will not auto generate the screening results nor auto create 14 days leave .User need to manually add these information here
Add Button next for Appointment .Upon clicking add, it will show Employee Profile page

-Select the Personnel Type

-Type the Name in the Search field

-Select Name from the list

-Click the Next button

-Add the Appointment Details and click next

-Select the COVID-19 Encounter and click on Save or Create Encounter .Difference being On Save ,no COVID-19 encounter type is created and clicking on Create Encounter it instantly creates the COVID-19 encounter type


5.3. COVID-19 Encounter Type Details and Schedule Follow-up

Upon creating encounter it would redirect to COVID-19 Encounter Type page where you can manually enter the screening details and also create a follow up appointment.

5.4. Manage and Add Leaves

Leave can be added and viewed in 2 different screens

• Employee Medical Profile: Leave for single employee can be added and viewed.

• Manage Leave: Leaves for any employee can created can leave records of multiple employees can be viewed for that location or Level

• 14 days leave get auto created in the system when the screening is done through App .On editing this leave it will show the auto populated values .Details can be seen below (section 3 :Data Sync)

5.5. Employee Medical Profile

Single interface to manage COVID Medical History of the employee .You can manage Employee Profile info, Appointment Info, COVID -19 encounter type results, Leave, Clinic Notes, Action items and attachments in this page

5.6. Configure Lookup Values – Visit Type, Visit Reason, Health Care Provider, Clinic Notes Category, Reschedule Appointments, Cancel Appointments

• Admin user can configure following looks ups for Corporate or by Location

• Visit Type - fields to be configured in Module Set up .This field values is selected in Appointment details

• Visit Reason –fields to be configured in Module Set up. This field values is selected in Appointment details

• Health Care Provider – Location Profile. This field values is selected in Appointments, COVID -Encounter Type, Leave and Clinic notes

• Clinic Notes Category – Module Set up .This field values is Clinic Notes Detail page

• Reschedule Appointments – Module Set up .

• Cancel Appointments – Module Set up .

6. Data Sync: COVID-19 Health Screening Mobile App to Employee Health Management Web Platform

For Active Supervised Contract Employee and Employee on not clearing for Work, following fields from COVID App gets synced with Employee Health Management

9. COVID-19 Employee Status Widgets

  • New widget for COVID-19 Employee Screening Status & Employee Leave Status

  • User having access to COVID-19 App should be able to view this widget 

  • For users having access to both COVID-19 App and Employee Health Management platform should be also able to view the widget . In this case it will show the combined statistics both from widget and Employee Health Management platform

  • This widget will be available both at location and at level

  • There would be no hyperlink for this widget

  • User can view the stataticstics based on following filters

    • Today

    • This week

    • This Month

    • Last 30 days

    • Last 60 days

    • Last 90 days

    • Fiscal year

    • Calendar Year

    • Last 12 Months

    • Default - Today 

 

  • If a employee screening information is recorded as Not Cleared for Work through the App and later is edited as Cleared For Work in the Employee Health Management platform ,then it will show the count under both Cleared for Normal Activity and Not Cleared for Normal Activity based on the filter applied

  • If a leave is created through App and deleted in Employee Health Management platform ,still then it will display the Leave as per the Quarentine leave period based on the screening date

10. Drop a Pin control and view in Risk Point for COVID-19 Positive / Suspected Cases

  • New feature to Pin and identify the exact position of the Covid detected  Positive employee /Suspected employees in facility layout

  • Drop a Pin feature in COVID -19 Case type to pin the employee whose Test Result is Positive or Referred For as Not Cleared for Work

  • The pinned information appears in the Risk point widget for that location .

  • If a COVID -19 Case is marked with both positive and not cleared for work for an employee ,then in risk point it will highlight the COVID-19 Positive data point
