Creating Recurring Audits

Users will have the ability to set up a recurring audit which will be a repetitive program. Users can schedule the upcoming repetitive audit by defining the cycle of repeat as well as the period until which the audit repetition cycle will continue. 

Example Scenario:

An EHS manager may be required to conduct daily rounds to check the status of daily safety compliance for their facility. Rather than creating an audit each day, the EHS manager can schedule a Recurring Audit with a “Daily pattern” in the system. Each day, the the user will find the audit scheduled in the system.


Step-by-step Instruction:

Scheduling a Recurring Audit while Creating a New Audit: 


  1. Click on Modules
  2. Select Audit Management
  3. Click on Create New from the menu. 

  4. Complete the Basic Details section: 
    1. Select the Type of Audit.
    2. Enter the Name of the Audit Program.
    3. Select Yes for Recurring Audit


    4. Select the Recurrence Pattern.      Refer to Recurrence Pattern Details
    5. Select the Repeat Until.                  Refer to Repeat Until Options


  5. Click on Save and Next to go to the next step or click on the Perform Audit to conduct the Audit.

Recurrence Patterns

There are four patterns among which the user can select the pattern in which the audit is to be scheduled. These are:

PatternsOptions
Daily

  • Every ___ Day(s) on Weekdays Only - creates a daily recurrence which repeats the number of days as defined by the user in the box. This option excludes the weekend (Saturday and Sunday).
  • Every ___ Day(s) include all days - creates a daily recurrence which repeats the number of days as defined by the user in the box. This option includes the weekend (Saturday and Sunday).
Weekly

  • Recur Every ___ Week(s) On: - allows users to input the numeric value for the frequency of recurrence and the day of the week on which the audit should occur. The checkboxes next to the days of the week are multi-select and allows the user to select more than 1 day.
Monthly

  • Day ____ Every ____ Month(s) - the first drop down represents the date number (1-31) and the second drop down contains the number of months (1-12).
  • The ______ _______ of Every ____ Month(s) - The first drop down will allow the user to select from the following options: Last, First, Second, Third and Fourth.

    The second drop down will allow the user to select from the following options: Day, Weekday, Sunday, Monday, Tuesday, Wednesday, Thursday, Friday and Saturday.

  • The 3rd drop down represents the number of months (1-12).

Yearly

Yearly is a combination of the Every ____ year(s) where the user defines the number of years and selects one of the radio buttons:

  • The first option allows the user to specify the month and date to repeat each year. As in the example, this recurrence will repeat every 1 year on January 1st.
  • The second option allows the user to narrow it down details further. As in the example, it would repeat on the last Sunday of every January.

Repeat Until Options

The Repeat Until field is used to set the range until which the repetitive events of the recurring audits are to be scheduled. User will have the following options to select from:

  • No End Date - If the user enters this option then the system will create audits for 5 years starting from the start date of the audit. This is the default selection.
  • End After ___ Occurrences - Based on the numerical value entered by the user, then this recurrence will stop after such number of occurrences.
  • End By - This is a Date Picker field which the user can define by when the repetition of the audit will end.


19.1 Update

Once a recurring audit is setup, then the following information will also be carried over to all instances. 

  • Program Details
  • Program Status
  • Auditors/Team members
  • Notifications
  • Attachments.
